Michigan Tech Center Inside Sales Administrator and Office Manager

Job Description
Office Manager
· Greet visitors to the building
· Answer calls to the Michigan and California office
· Maintain and order office supplies
· Help develop budget for Tech Center
· Maintain building calendar (visitors, maintenance, cleaning)
· Identify, set-up and/or communicate with building service suppliers (cleaning company, pest control, alarm system, plumber, HVAC, etc.)
· Manage alarm system codes, keys, serve as contact for Alarm company
· Communicate with landlord’s office
· Coordinate shipments, including scheduling rigging, preparing bills of lading
· Assist some employees with and provide feedback regarding IT
· Process invoices from suppliers, utilities
· Plan Michigan Tech Center and other events
o conduct and/or participate in planning meetings
o send regular updates
o develop and monitor budget
o work with local hotel(s) on room blocks, hospitality
o work with caterers and suppliers
o collect and report on RSVPs
o communicate with guests
o assist with miscellaneous requests
Machine Insides Sales Processing
· Handle all aspects of machine sale, including identifying and ordering options from vendors, parts from YCM factory
· Prepare all paperwork, including Sales Order Confirmation, Promissory Note, etc.
· Gather shipping dimensions and other information for dealer or customer
· Coordinate shipping arrangements with warehouses and carriers, including preparation of Bills of Lading
· Process all invoices from vendors in the company’s proprietary software
· Handle all invoicing, follow-up, etc., to dealers or customers
· Update progress in program management software
· Order machines and options for inventory
· Work with Accounting on various requests, e.g., new customer set-up, tariff updates, cash flow requirements, miscellaneous, etc.
· Participate in weekly order review meetings
Other
· Create proposals and handle other requests for Management
· Update TRIMILL and other YCM Alliance proposals
· Assist YCM Alliance partners with miscellaneous requests (shipping equipment, procuring products, safety equipment, etc., for installations and/or repairs)
· Provide support to visiting YCM Alliance Service Technicians (Excetek) by coordinating housing, travel, customer communication, etc.
· Assist with company vehicles, including returning or accepting vehicles, handling registration for Michigan-based vehicles.
· Assist with onboarding new employees
Required Knowledge, Skills, and Abilities
- Developing and maintaining a strong working knowledge of the machine tool industry along with its products and services
- Support internal/external teams (sales, applications, service, accounting/AR), dealers, end users from initial inquiry to order fulfillment
- Responsible for effective sales communication to ensure accurate and efficient order processing
- Responsible for providing up to date forecasting
- Maintaining vital competitive information
- Performs other related duties as assigned by management
Qualifications & Professional Experience:
· Must work well in a team setting
· Engineering or CNC Machine tool aptitude preferred
· 3-5 years of experience working in CNC machine tools or OEM environments
· Excellent communication, writing, excel, skills
· Must work well under pressure to meet deadlines
· Working knowledge with SAP
· Knowledge of Sales Force or equivalent CRM software
· Strong problem-solving, analytical, and organizational skills
· The ability to work proactively and anticipate issues before they arise
· The ability to learn and implement new procedures as required by management
