Summary Description
Under general supervision and according to established policies and procedures, provides business administrative support to assigned administrators, including executive directors with system-wide responsibilities, in overall planning, development and administration of services(s).
The duties include, but are not limited to:
- Responsible for developing and managing operating and capital budgets for the GME programs and the GME Office.
- Manage centralized support services while optimizing efficiency and ensuring smooth administrative operations across programs.
- Ensure departmental files, policy and procedure manuals, protocols, and reports for various hospital, state, and federal organizations are maintained and up to date.
- Function as primary liaison between the GME Office, Hospital Administration, Program Directors, Program Coordinators, and Department Administrators regarding GME affairs.
- Manage contracting in the GME office including reviewing and processing new contracts/agreements and ensuring renewal annually with support from the legal department.
- Process and submit invoicing related to agreements with affiliated Hospitals in accordanc e with agreements.
- Responsible for all aspects of Resident/Fellow contracts to ensure ACGME requirements are met and ensures all contacts are accurate and that a current contract is on file for each Resident/Fellow.
- Identifies procurement needs for GME and requests quotes from vendors. Initiates and submits requisitions for all office furniture, supplies, computers, laptops, etc.
- Primary liaison with Resident Council and GME Office, taking notes in meetings, prep for meetings, etc.
- Manage centralized support services while optimizing efficiency and ensuring smooth administrative operations across programs.
- Review, in conjunction with the DIO and VPAA, and approve/sign Resident/Fellow Moonlighting requests.
- Treat confidential information appropriately and maintain compliance with all institutionally required trainings.
- Complete tasks, as assigned, by our Medical Student Coordinator to improve efficiencies within the GME office and with our medical school partners, including attending monthly touchpoints with each university and attending recruitment sessions as scheduled by the GME office.
- Willingness to take on new assignments when needed to help the GME team achieve its goals.
Minimum Qualifications
1. Bachelors degree Health Care Administration, Business Administration or related field. Coursework towards Masters degree in Hospital Administration or Business Administration is desirable.
2. Three to five years progressively more responsible related experience in health care administrative setting.
3. Program/project management experience within a healthcare environment preferred.
Skills Required
1. Analytical ability required to collect, analyze and interpret complex financial reports, studies and processes and to present findings to management.
2. Communication and/or interpersonal skills necessary to effectively communicate with various levels of health care personnel on a daily basis. Courtesy and listening skills are required. The ability to read and comprehend procedures and technical literature in specific functional area is necessary.
3. Project management skills including the ability to define program, project, or process objectives, identify stakeholders and their interests, plan steps, coordinate and allocate human, technological and fiscal resources to accomplish goals and objectives in a resourceful yet timely manner.
4. Leadership skills including demonstrated willingness to pursue leadership roles with increasing levels of accountability, comfort with decision-making responsibilities, coaching, teaching and counseling skills, and the ability to inspire and build confidence in others and to forge alliances and garner support.
5. Ability to perform varied mathematical computations and to see relationships between data and to draw valid conclusions. Technical understanding of various computer software packages, such as spreadsheets, word processing, statistical analysis, database management, work flow and graphics programs.
