George Washington Carver Academy is hiring a School Administrative Assistant to join the team.

George Washington Carver Academy is a PreK - 8th grade public charter school located in Highland Park. Our mission extends beyond academics. We foster a nurturing environment where scholars freely engage in the learning process, preparing them to positively impact their community. The School Administrative Assistant plays a critical role in supporting the daily operations of the school. This position is responsible for providing administrative support to the school’s leadership team, teachers, students, and parents. The ideal candidate will possess strong organizational and communication skills, be detail-oriented, and have a passion for fostering a positive and productive school environment.

Key Responsibilities:

  1. Administrative Support

    1. Assist in the management of school records and documentation.

    2. Answering phone and directing as needed.

    3. Coordinate scheduling for appointments, meetings, and events for school leadership.

    4. Prepare and distribute newsletters, memos, and other school communications.

    5. Maintain an organized filing system (both electronic and paper).

    6. Handle incoming and outgoing correspondence.

  2. Student and Parent Interaction

    1. Serve as the first point of contact for students, parents, and visitors, providing a welcoming atmosphere.

    2. Respond to inquiries via phone, email, and in-person promptly and courteously.

    3. Assist with enrollment processes, including collecting and verifying student information.

  3. Office Management

    1. Maintain office supplies inventory and order supplies as needed.

    2. Assist with budgeting and financial record-keeping.

    3. Ensure the office environment is clean and well-organized.

  4. Event Coordination

    1. Support planning and execution of school events, activities, and meetings.

    2. Assist in preparing materials and logistics for events.

  5. Collaboration and Communication

    1. Collaborate with school staff to enhance operational efficiency.

    2. Maintain confidentiality regarding student and staff information.

    3. Facilitate communication between teachers and families regarding student needs and concerns.

  6. Technology Use

    1. Utilize school software and databases for record-keeping and communication.

    2. Assist with the maintenance of the school’s website and social media channels, as needed.

Qualifications :

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.

  • Previous experience in an administrative role, preferably in an educational setting, is a plus.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with school management software.

  • Strong interpersonal and communication skills, both written and verbal.

  • Ability to manage multiple tasks, prioritize effectively, and work independently.

  • Strong attention to detail and commitment to maintaining confidentiality.
