Position Summary:
This role is ideal for a proactive, organized individual who thrives in a fast-paced environment and genuinely cares about people who are under Guardianship, Conservatorship, or Case Management. You will be responsible for managing client accounts, administrative support, and ensuring smooth day-to-day operations. The ideal candidate must be comfortable working independently and collaboratively, and able to handle sensitive information with the utmost discretion.

This role requires consistent and reliable attendance. Due to the nature of the position , we are seeking someone with strong availability and flexibility to meet scheduling needs. Reliability and dependability are critical for success in this position.

Key Responsibilities:

  • Manage payment of client bills and maintain timely, accurate records
  • Perform account balancing and reconciliation using QuickBooks
  • Draft correspondence and legal documents; assist with court filings
  • Handle incoming phone calls and emails with professionalism and empathy
  • Maintain and update client records and case files
  • Provide general administrative support to fiduciary
  • Coordinate with team members and outside agencies as needed
  • Assist with time tracking and billing (experience with Timeslips preferred)
  • Support compliance and documentation requirements

Requirements:

  • Proficient in QuickBooks , Microsoft Word , and Excel
  • Experience with Timeslips strongly preferred
  • Strong multitasking and organizational skills
  • Excellent verbal and written communication skills
  • Ability to prioritize tasks in a high-paced environment
  • Comfortable working both independently and collaboratively
  • High level of discretion, reliability, and attention to detail
  • A positive attitude and a genuine care for people

Preferred Qualifications:

  • Prior experience in a fiduciary, legal, or social services office
  • Familiarity with court procedures and filings
  • Background in working with vulnerable populations (elderly, special needs, etc.)
