Job Summary

We are seeking an experienced HR Coordinator to support Human Resources operations during a high-volume business period. This hybrid role combines HR administration, recruiting coordination, employee relations support, union administration, and executive-level administrative assistance. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining strict confidentiality.

Key Responsibilities

Human Resources & Employee Relations

• Coordinate the full employee onboarding and offboarding process, including background checks, new hire orientation, and exit interviews
• Maintain accurate employee personnel files and HR documentation
• Update and manage employee records within the Human Resources Information System (HRIS)
• Ensure HR policies, hiring practices, and procedures comply with federal, state, and local employment regulations
• Support union administration activities and employee relations initiatives

Recruitment & Talent Acquisition

• Partner with hiring managers to understand staffing needs and position requirements
• Develop sourcing strategies to attract qualified candidates
• Conduct initial candidate phone screenings and evaluations
• Coordinate interview scheduling and candidate communications
• Facilitate candidate assessments and provide a positive recruitment experience
• Manage the offer process and coordinate seamless handoff to the onboarding team

Administrative & Executive Support

• Provide executive administrative support to HR leadership
• Manage calendars, meetings, and scheduling for HR executives
• Prepare presentations, meeting agendas, reports, and supporting documentation
• Draft internal communications, HR memos, and correspondence
• Maintain confidential HR records and documentation

Office Operations

• Support daily HR office operations and administrative functions
• Coordinate with vendors and manage office supply inventory
• Assist with special HR projects and operational initiatives as assigned

Qualifications

Education

• High School Diploma or GED required
• Bachelor's Degree in Human Resources, Business Administration, or a related field preferred

Experience

• 3–5 years of progressive Human Resources and Recruiting experience required
• Union environment experience is highly preferred

Required Skills

• Experience with employee onboarding, offboarding, and HR administration
• Recruiting coordination and talent acquisition experience
• Knowledge of HRIS systems and employee record management
• Strong understanding of employment laws and HR compliance
• Excellent organizational and time management skills
• Outstanding verbal and written communication skills
• Ability to manage confidential information with professionalism and discretion
• Strong interpersonal skills with the ability to work across all organizational levels
• Ability to prioritize multiple tasks in a fast-paced environment
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
