Customer Service Representative
Customer Service Specialist – Full-Time (On-Site)
Schedule: Monday–Friday, 8:00am–5:00pm (1-hour lunch)
Training: Hands-on training with management; approximately 1 month to full independence
Experience Level: Entry-Level
Position Summary
We are seeking a Customer Service Specialist to join our team and support our front-end patient service operations. This role is responsible for providing exceptional service by handling inquiries, coordinating orders, and ensuring a smooth experience for patients receiving home medical equipment and related supplies.
You will receive in-depth, hands-on training to become proficient in medical equipment knowledge, internal systems, and workflow processes.
Key Responsibilities
- Manage inbound and outbound calls, as well as email communications.
- Learn and understand the entire front-end service process to ensure a positive patient experience.
- Obtain, analyze, and verify referral information; create orders and schedule patient setups for prescribed medical equipment.
- Process orders accurately and timely.
- Route calls to appropriate teams and follow up as needed.
- Ensure all communications meet response-time goals and service standards.
On-Call Requirements (After Going Direct)
- Every 6 weekends , both Saturday & Sunday: 9am–6pm , remote .
- No weekday on-call at this location.
- Schedule released quarterly; staff may swap or pick up shifts.
- Work involves logging call time only; some days may have no calls.
Stipends & Pay
- Weekends: $50 stipend
- Holidays: $100 stipend
- Logged work time is paid at hourly rate + time and a half .
- Stipend is paid even if no calls are received.
Required Skills & Qualifications
- Excellent customer service and communication skills (written & verbal).
- Strong analytical, problem-solving, and decision-making abilities.
- High attention to detail and ability to manage multiple tasks.
- Proficient with computers and Microsoft Office.
- Ability to learn new technology systems and understand data flow.
- Ability to work independently and collaboratively.
- Adaptable, proactive, accountable, and patient in fast-changing environments.
- High School Diploma or equivalent required.
- Minimum 1 year of related experience in:
- Healthcare administration
- Medical or insurance customer service
- Claims or billing
- Call center
- Healthcare support roles

This is a Contract to Hire position based out of Kalamazoo, MI.
Pay and BenefitsThe pay range for this position is $19.00 - $19.00/hr.
