FLSA STATUS: Non-exempt

Starting Wage: $19.34 per hour, adjusted for experience and education.

RESPONSIBILITIES:

Oversee and implement the referral/intake processes established for Great Lakes Center for Autism Treatment and Research (GLCTAR) programs. Provide advanced clerical and technical assistance to GLCTAR clinical and managerial staff and ensure functionality of the GLCATR facilities, including telecommunication systems and office equipment on a day-to-day basis. Implement responsibilities and other actions in accordance with ROI’s Core Values and Vision and Mission Statements.

ESSENTIAL DUTIES:

1. Provide advanced technical and clerical assistance/support to GLCATR clinical and managerial staff and independently complete clerical tasks of a more specialized nature necessary for program audits.
2. Maintain systems for scheduling, billing tracking and attendance tracking using the current tools and utilize new tools/software as they are developed.
3. Create and implement established Outpatient intake processes including, but not limited to, ensuring all paperwork is obtained, ensuring the authorizations have been secured and received before assessments and sessions are scheduled, maintaining intake appointments for clinicians and the Clinical Director, and providing frequent follow-up to families on the waiting lists.
4. Create and implement referral processes for the GLCATR licensed settings in collaboration with the Clinical and Executive Directors, including, but not limited to, ensuring all paperwork is sent out a received, new referrals are screened upon receipt, denials and acceptance communication is remitted, maintaining intake conversations for the Clinical Director, monitoring the waiting list and providing frequent follow-up to families on the waiting lists.
5. Process Incident and Accident Reports (I&As) and Recipient Rights Complaint forms daily; forward copies to the appropriate Recipient Rights Office, guardians, and other agencies as warranted by specific situations.
6. Maintain a file per individual of all I&As and Recipient Rights Complaints received.
7. Perform reception duties including, but not limited to, welcoming and assisting guests, answering phones, assisting callers, logging calls, and ensuring that visitors and callers are dealt with in a professional manner.
8. Review staff training records and coordinate recertification for specialized contract compliance in coordination with HR department across all GLCATR Licensed Settings programs.
9. Supply information to the established program billing system that allows for billing to be submitted in a timely, efficient, and accurate manner. Ensure that the appropriate documentation exists to support the billing.
10. Assist with billing as needed.
11. Maintain: the functionality of the GLCTAR buildings; GLCTAR Building security; service logs for office equipment and owner/instruction manuals; inventory of administrative, office, clerical, and institutional supplies; schedule of GLCTAR meeting rooms; vending machines; organization and security of agency keys; and weekly schedules of Administrative Staff.
12. Coordinate with: the IT Department for service and technical repairs; the Maintenance Department to ensure that the grounds of GLCTAR meet or exceed community and neighborhood standards; and outside vendors for administrative services and equipment.
13. Conduct financial procedures including, but not limited to, maintaining and disbursing administrative petty cash and recording monies received.
14. Prepare for and attend assigned meetings, compile meeting minutes, and maintain the files of documents pertaining to assigned committees.
15. Provide office building and security orientation to new GLCTAR staff.
16. Open, sort, and distribute incoming correspondence.
17. Complete assignments of word processing, copying, data entry, and reporting as assigned.
18. Maintain clinical records/files for individuals served by GLCATR; assist with audits as directed.
19. Comply with all laws and regulations regarding reporting suspected abuse and neglect of vulnerable persons. 20. Embrace and support ROI’s philosophies related to diversity, inclusiveness and anti-racism and work to ensure ROI’s commitment to being an anti-racist organization.
21. Maintain the confidentiality of all restricted information, data and reports.

22. Complete all other tasks as assigned by the Outpatient Coordinator, Outpatient Services Behavior Analyst I, Outpatient Clinical Team Supervisor, Licensed Settings Coordinator, Intensive Treatment Manager, Intensive Treatment Behavior Analyst I, Business Development Manager, Clinical Director, Executive Director of Autism Services, and COO.

QUALIFICATIONS: High school diploma / GED required; 2 years post high school educational experience preferred. 3 years experience in administrative support. Demonstrated proficiency in: word processing; development of spreadsheets; database maintenance and reports; good oral/written communication, public relations, and customer service skills. Ability to: accurately; operate and carry out minor maintenance on standard office equipment in coordination with the IT Department; work as a member of a team; work, plan, organize, and prioritize with minimal supervision; and attend (including providing own transportation) work-related obligations throughout the community and multiple GLCATR program sites.

REQUIREMENTS: Approved driver status as determined by ROI
