Position Summary
Performs a wide variety of clerical support services to assist the principal of the elementary school, while maintaining confidentiality.
Duties and Responsibilities
(These duties and responsibilities are judged to be "essential functions" in terms of the Americans With Disabilities Act or ADA)
- Collects all deposits/disbursements for the entire internal accounts.
- Prepares and distributes checks from the business office as needed on a daily basis.
- Run monthly accounting reports.
- Record and maintain accurate records of debts to the school, i.e. NSF checks.
- Monitor internal/external building budget.
- Collect timesheets and process any paperwork needed to pay employees for extra work.
- Process purchase orders and check requests.
- Process student registrations.
- Maintain and update student records.
- Maintain student information system maintenance, updating, adding, deleting students from the database and all count day reports and responsibilities.
- Monitor and ensure teacher and/or paraprofessional absences are covered with subs.
- Process all field trip requests, maintain Payschools and run reports when needed.
- Assist in monitoring sick and/or injured students.
- Assist in creating student programs, awards, certificates, newsletters, etc.
- Assist in scheduling and processing building use requests.
- Plan and schedule school events, etc.
- Coordinate parent/teacher conferences.
- Assist with student bus issues, dismissals, etc.
- Prepares school correspondence including typing, printing, copying and distributing various school letters, flyers, and brochures, etc.
- Operate office machines, such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, and telephones.
- Communicate with customers, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints.

Education:
This position requires high school diploma or equivalent.
Experience:
- Two years of related experience providing clerical support in an office setting required.
Knowledge:
- Knowledge of basic math, required.
- Knowledge of basic bookkeeping procedures, required.
- Knowledge of principles and processes for providing customer services, required.
- Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures, required.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.
Abilities:
- Ability to read and interpret district policies, guidelines, and government regulations, required.
- Ability and willingness to participate in training classes, required.
- Ability to write routine reports and correspondence, required.
- Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required.
- Ability to multi-task, meet deadlines, be organized and work in a fast-paced work environment, required.
- Ability and willingness to work cooperatively with teachers, community, students and staff, required.
- Ability to read, write, and communicate effectively in English to perform essential job duties, including but not limited to understanding and following safety instructions, responding appropriately to emergency situations, completing documentation, and interacting with English-speaking staff, students, community and supervisors, required.
