General Office Administrator

As a General Office Administrator, you will be instrumental in maintaining smooth office workflows and supporting both internal teams and valued customers.
Responsibilities
- Respond promptly and professionally to incoming phone calls and voicemails, ensuring a positive client experience.
- Set up new clients in the CRM system and process service requests for both new and existing customers.
- Provide basic industry-related information to clients and direct inquiries to the appropriate Account Manager as needed.
- Process credit card payments securely and accurately.
- Schedule and route window cleaning jobs, coordinating with the Window Manager for commercial accounts.
- Enter and manage new job proposals, and maintain up-to-date schedules in Excel and CRM systems.
- Perform follow-up calls and emails to resolve client issues, track service progress, and generate additional work from previous customers and new leads.
- Prepare daily route paperwork, including cover sheets, leave-behind materials, and printed job details.
- Create and process work orders for bulk deliveries, coordinating with customers and delivery drivers to ensure timely service.
- Support accounts receivable by contacting clients regarding past-due balances, processing late payments, and addressing aging accounts.
- Create follow-up tasks for Account Managers when further action is required.
- Process purchase orders through the CRM and maintain accurate inventory levels throughout the season.
Qualifications
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Excel and CRM systems.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Customer service experience is an asset.
- Comfortable handling confidential information and processing payments securely.
