SUMMARY: Responsible for acquiring, organizing, and maintaining legal records, both physical and electronic. They ensure the accuracy, completeness, and accessibility of records, and may also handle tasks like digitization, archiving, and destruction.
ESSENTIAL DUTIES AND RESPONSIBILITIES: "Essential functions" are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.
• Acquiring and Receiving Records: Receiving and processing incoming legal documents, correspondence, and other materials.
• Organization and Filing: Organizing and filing legal documents, both physically and electronically, according to the firm's filing system.
• Database Management: Maintaining and updating records in databases, including case information, client files, and other relevant data.
• Record Retrieval: Locating and retrieving requested records for attorneys and other staff.
• Data Entry: Entering information into computer systems and databases.
• Archiving and Digitization: Preparing files for archiving and handling the digitization of physical records.
• Record Destruction: Overseeing the process of record destruction when necessary.
• Confidentiality: Handling sensitive and confidential documents and information with discretion.
• Cross-functional Support: Assisting paralegals and attorneys with various tasks related to record management.
• Communication: Responding to inquiries internal and external.
Skills and Qualifications:
• Organizational skills: Ability to keep records organized and easily accessible.
• Attention to detail: Accuracy in data entry and record keeping.
• Computer skills: Proficiency in using computer systems, databases, and office software.
• Communication skills: Ability to communicate effectively with colleagues and external stakeholders.
• Knowledge of legal filing systems and procedures: Understanding of how legal documents are organized and maintained.
• Confidentiality and discretion: Ability to handle sensitive information with care.
• High school diploma or equivalent: A minimum educational requirement.
• Experience in legal office settings: Preferred.
