Senior Administrative Assistant – GPIN (Group Practice Improvement Network) Shift: Full Time - 36 Hours - Day Shift Location: Remote Opportunity- Henry Ford Corporate office located in Detroit; MI. Executive Director is based in Minnesota.
General Summary
The Senior Administrative Assistant provides high-level administrative and operational support to senior leadership for GPIN (Group Practice Improvement Network), a nonprofit organization dedicated to helping medical groups nationwide achieve and sustain performance excellence through collaboration and shared best practices. Reporting to the Executive Director, this role supports communications, meeting coordination, conference logistics, website updates, and workflow optimization. The ideal candidate is highly organized, detail-oriented, and comfortable leveraging technology—including AI tools and automation—to enhance administrative processes and organizational efficiency. This position offers a unique opportunity to collaborate with physician and administrative leaders across the country to support initiatives that improve healthcare delivery for patients and healthcare teams. Key Responsibilities- Manage executive calendars, coordinate meetings, and arrange logistics for leadership activities and GPIN collaborative groups.
- Coordinate logistics for the GPIN Annual Conference, including registration management, attendee communication, and hotel coordination to ensure contract compliance.
- Research and provide recommendations for conference speakers and curated “Learning List” resources shared with members (books, podcasts, articles, and thought leaders).
- Prepare, proofread, and finalize professional communications including email correspondence, reports, presentations, and member communications.
- Support meeting organization by preparing materials, documenting discussions, and summarizing key takeaways and action items.
- Utilize AI-powered tools to support meeting summaries, note-taking, workflow automation, and document management.
- Create engaging PowerPoint presentations, including healthcare data visualizations and executive-level reporting materials.
- Assist with research, content curation, and distribution of weekly healthcare summary newsletters for GPIN members.
- Edit and maintain website content to ensure timely updates and accurate information.
- Manage conference registration processes and payment tracking.
- Develop and administer Microsoft Forms or Teams Forms for:
- Conference registrations and attendee tracking
- Member feedback surveys and polls
- Workflow automation related to reporting and collaborative topic selection
- Collaborate and communicate effectively with internal leadership, physician members, external partners, and conference vendors.
- High School Diploma or GED required.
- Associate’s degree in business, healthcare administration, or related field preferred.
- Minimum three (3) years of administrative or office support experience.
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
- Experience managing calendars, scheduling meetings, and coordinating travel or event logistics.
- Strong written and verbal communication skills.
- Demonstrated ability to manage confidential information with professionalism and discretion.
- Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
- Strong organizational, analytical, and problem-solving skills.
- Experience utilizing AI-powered productivity tools (e.g., Microsoft Copilot) to streamline workflows.
- Familiarity with Microsoft Power Automate or similar automation platforms.
- Design experience creating presentations, newsletters, or digital marketing materials.
- Experience editing websites or working within a content management system (CMS).
- Knowledge of social media and SEO best practices to support digital presence and engagement.
