PRIMARY RESPONSIBILITIES:

  • Provide phone coverage for customer inquiries, general routine work and repair requests. Assist with inquiries and evaluate requests and dispatch proper personnel.
  • Enter trouble tickets and timesheets into work order/time tracking system.
  • Use card access system to create access cards for associates and contractors and maintain documentation associated with access cards. Compile access summary and audit reports for various departments.
  • Create and assign preventative maintenance tickets and enter in the work order system. 
  • Place orders for maintenance, office planning, yards & grounds and janitorial for parts, supplies and services. Contact vendors, price items, create purchase orders, process invoices and complete associated forms.
  • Prepare, type and issue reports and communications for the department.
  • Compile monthly summary reports and forwards to designated personnel
  • Maintain files and update records associated with preventative maintenance program.
  • Maintain documentation according to Nestlé standards
  • Performs additional duties as assigned by Management or Team Leader(s).

REQUIREMENTS AND MINIMUM EDUCATION LEVEL:

  • High School Diploma or GED required. Associate degree a plus.

EXPERIENCE:

  • Minimum 3 years of general office experience

SKILLS:

  • Detail oriented and able to work in a fast-paced environment with minimum supervision, effective communication skills, must be able to handle sensitive and confidential information pertaining to security & HR information.
  • Results focus, priority setting, timely decision making.
  • Energy & Drive: Pro-active, action oriented, strong drive for results, passion to win.
  • Organizational Positioning Skills: Excellent time management skills, organizational skills, multi-tasking skills, and problem-solving skills both as an individual and group required.
  • Personal & Interpersonal Skills: Customer focus, skilled to build and foster effective relationships with people at all levels of the organization: mentor/coach people when necessary.
  • Microsoft Office applications skills required. Preferred skills in SAP purchasing/invoicing system and card access systems.
  • Communications (computer/phones/people), data entry, file management, and customer service.
  • Ability to lift/carry objects weighing up to 20 lbs.
