General Summary HR Executive Assistant provides high-level administrative support to senior leadership, including executives in the M10 salary grade. This role involves managing complex calendars for two executives, coordinating projects, and ensuring the smooth execution of daily operations. The assistant is responsible for preparing correspondence in final form, scheduling meetings, maintaining confidential files, and conducting special projects as assigned. Key duties include acting as a project coordinator, creating basic presentations, following up on action items, and handling sensitive information with discretion. The position requires a thorough understanding of the supervisor’s areas of responsibility to gather data, prepare detailed reports, and answer correspondence. The HR Executive Assistant also greets visitors, manages communications, and arranges meetings and conferences, demonstrating initiative and sound judgment. Education/Experience Required- Candidates must possess a high school diploma or G.E.D.; an associate degree in business or a related field is preferred.
- Proficiency in typing (minimum 50 w.p.m.), editing, and using office software is essential.
- The role demands strong organizational and analytical skills to oversee recordkeeping systems, prepare non-routine reports, and monitor budgets.
- A minimum of five to seven years of progressively responsible administrative experience is required to understand organizational policies and manage high-level administrative tasks.
- The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment, ensuring executive operations run efficiently and confidentially.
- Excellent interpersonal skills are necessary to communicate effectively with a diverse group of internal and external stakeholders, often dealing with highly confidential matters.
