As an integral part of Interlochen's philanthropy program, the Stewardship and Events Coordinator works with the Associate Director of Stewardship and Events to foster lasting relationships between Interlochen and its benefactors, promoting positive attitudes toward giving among current, prospective and planned giving donors.

Essential Duties & Responsibilities:

Stewardship:

  • Draft, customize, edit, and mail letters for leadership and major gift donors through our enhanced letter program. Work also includes an annual master letter template refresh and additional donor correspondence as requested.
  • Collaborate with Philanthropy colleagues to develop, coordinate and implement our scholarship donor and scholarship recipient meet and greet program during the Camp and Academy seasons.
  • Coordinate our priority ticketing stewardship program, becoming the point of contact for donors.
  • Assist the Associate Director of Stewardship and Events with scholarship donor stewardship including, scholarship mailings, thank you letter collection, and related initiatives for both Camp and Academy.
  • Utilize our CRM system, Salesforce, to create reports and campaigns for stewardship and event initiatives.
  • Devise and maintain consistent, accurate records, and implement appropriate information-sharing mechanisms including but not limited to: tracking efforts in our CRM; utilizing project management tools such as Trello and Asana; designing, sending and tracking emails through HubSpot; and effectively utilizing the shared Philanthropy Google drive.
  • Assist with facilitating Box Office tickets for Philanthropy staff and donors/guests.
  • Collaborate with the Associate Director of Stewardship & Events to maintain the integrity of donor recognition listings including a periodic audit of named spaces on campus.
  • Other duties as assigned by the Associate Director of Stewardship and Events.

Events:

  • Assist in live and virtual event coordination at the request of the Associate Director of Stewardship and Events, including building events in our Blackthorn event platform in our CRM, drafting invitations and thank you emails, and managing event reports and campaigns.
  • Create name tag mail merges and coordinate printing and readiness for events.
  • Help plan, facilitate, and/or coordinate, as needed any assigned donor events, with a particular focus during the busy summer camp season.

Additional Responsibilities:

  • Oversee volunteers and interns as assigned.
  • Maintain professional connections and interactions; keep current with industry best practices through professional development opportunities.
  • Evening/weekend work is sometimes required, especially during the busy summer camp season.
  • Occasional travel (seldom).
  • Seeks the best use of materials, equipment and staff to maximize efficiency and effectiveness.
  • Complies with ICA policies/procedures and acts as a good steward of ICA finances.
  • Respects the culture, diversity and rights of all students, their families and the community.
  • Prioritizes duties in a manner consistent with organizational objectives and growth.
  • Performs other duties as assigned.

  • Bachelor's degree required
  • Two years experience, preferably in philanthropy, stewardship,or education non-profit work, or a related field
  • Previous experience interacting with donors is preferred
  • A working knowledge of the Google Suite is required
  • CRM knowledge of SalesForce, or a comparable fundraising CRM database, is preferred
  • Ability to think strategically about donor engagement
  • Proven skills and ability to implement multi-phase projects from inception to completion, including the ability to build consensus among team members and balance multiple concurrent priorities with donors, alumni, colleagues, and supervisors
  • Must possess the ability to work independently and as part of a team. Being detail oriented, well organized, focused, and goal-oriented, with a high level of initiative and energy, is essential, as well as being adept at problem solving and using judgment in situations requiring independent initiative and tact
  • Excellent written and verbal communication skills are essential, with the ability to create, proofread and edit written communication using appropriate grammar, spelling and punctuation.
  • Excellent social skills, with large groups as well as with individuals required
  • Ability to follow and execute specific verbal and written instructions
  • Ability to promote and maintain positive interaction with all internal and external stakeholders
  • Demonstrate respect for cultural, ethnic, spiritual, and linguistic diversity and values including differences in personal goals, lifestyle choices and varying family backgrounds and histories
