JOB TITLE:

Office Associate, Senior

JOB PURPOSE:

The Office Associate Senior supports the mission and daily operations of the American Heritage Center by providing comprehensive administrative assistance to the Director, Business Manager, and departmental units. This position ensures smooth coordination of events, financial processes, communications, and technology support, serving as a key liaison between internal staff, external stakeholders, and the AHC Board of Advisors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Event Coordination & Board Support

Organize and manage logistics for internal meetings, staff retreats, and external events such as Board of Advisors meetings, lectures, and public programs. Prepare meeting materials, maintain board communications, and assist with special events and development activities.

Administrative & Financial Support

Process invoices, reconcile P-cards, and assist with financial tracking under the guidance of the Business Manager. Manage mail distribution, maintain office supplies, and serve as the first point of contact for phone and email inquiries. Provide technology support for AHC staff and classrooms, liaising with UWIT as needed.

Departmental Assistance & Special Projects

Support AHC units with administrative tasks including travel arrangements, purchasing, and event logistics. Assist with marketing, publications, and website updates. Coordinate recruitment logistics and candidate support.

MINIMUM QUALIFICATIONS:

Education: Associate's degree, or equivalent combination of education and experience

Experience: 1 year progressively responsible work-related experience

DESIRED QUALIFICATIONS:

Advanced office management principles and practices.

Accounting procedures involving procurement, travel, and/or employment.

Create, compose, and edit complex written materials.

Communicate effectively both orally and in writing with a wide range of individuals and constituencies.

Maintain calendars and schedule appointments.

Work as a team member and foster a cooperative work environment.
