POSITION SUMMARY:

The Health Division Dental Practice Manager, under the supervision of the Health Division CEO, is responsible for the daily operations and oversite of the Health Division dental practice. The ideal candidate will ensure the smooth running of the practice by managing staff, coordinating patient care, overseeing administrative duties, and ensuring compliance with health and safety regulations. This individual will play a key role in providing exceptional patient experiences and maintaining a positive work environment.

ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)

Operations Management:

Oversees the daily operations of the dental practice, ensuring efficiency and quality service.
Coordinates patient scheduling, ensuring appointments are efficiently managed.
Implements and monitors patient flow to minimize wait times and optimize practice productivity.

Staff Management:

Supervises dental assistants, hygienists, front office staff, and other dental personnel.
Provide leadership, training, and development opportunities for all staff members.
Conduct regular performance reviews, offer feedback, and manage any employee-related issues.

Financial Management:

Oversee practice financials, including budgeting, billing, and bookkeeping.
Monitor accounts receivable and payable to ensure timely payments and billing.
Collaborate with the dentist/owner to set financial goals and track practice profitability.

Patient Relations:

Foster a positive and welcoming environment for patients.
Handle patient complaints or concerns, ensuring timely resolution and satisfaction.
Ensure adherence to patient privacy standards and HIPAA regulations.

Marketing & Business Development:

Develop and execute marketing strategies to increase patient acquisition and retention.
Maintain the practice's online presence, including social media and website content.
Build relationships with referral sources and identify opportunities for practice growth.

Compliance & Legal:

Ensure the practice complies with all applicable regulations, including OSHA, HIPAA, and state dental board requirements.
Maintain accurate and up-to-date patient records, including treatment notes and financial documents.
Oversee the procurement and maintenance of dental supplies and equipment.

Technology & Systems Management:

Oversee the practice’s practice management software, ensuring smooth operation and staff training.
Implement and maintain protocols for the digital record-keeping system and patient data security.
Stay updated on technological advancements in dental management software.

ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following)

  • Routinely prepare and present reports for the Dental Director and Health Division Chief Executive Officer.
  • All other job-related duties as assigned.

CONTACTS:

Immediate peers, peers in other departments, immediate supervisor/manager, managers in other departments, executives, customers, contractors, outside vendors / service providers, Federal, State and Tribal agency representatives, accreditation agencies, hospital and medical field personnel and insurance agencies.

PHYSICAL REQUIREMENTS:

Position sedentary primarily sitting / lifting of minimum 20 pounds. Physical factors include constant use of near / midrange / far vision, depth perception, color / field of vision, typing; frequent sitting, use of hearing; occasional standing, walking, carrying / lifting, pushing / pulling, stooping, kneeling reaching, use of smell, and bending. Working conditions are typical medical office / hospital environment. Potential hazards include constant infectious exposure, patient contact, computer use and occasional exposure to moving mechanical parts, chemicals, needles/syringes and equipment use.

REQUIREMENTS:

Education: Bachelor's degree in Healthcare Management, Public Health, Dental Hygiene, or a related field; Five years demonstrated ability in relevant work experience considered in lieu of degree.

Experience: Minimum of three years of experience in program management within a dental or healthcare setting required in addition to above stated education requirement. Proven experience of successfully managing healthcare programs, including budgeting, resource allocation, and staff leadership required.

Certification/License:

Certification in dental practice management (e.g., CDA, CPDM) preferred. Will be required to undergo and successfully pass a background check. Must have a valid driver’s license and be insurable by the Sault Tribe Insurance Department. Must comply with annual driver’s license review and insurability standards with the Sault Tribe Insurance Department. Will be required to complete and pass pre-employment drug testing.

Knowledge, Skills and Abilities:

Strong leadership, organizational, and project management skills required. Knowledge of HIPAA and other healthcare regulations required. Excellent communication and interpersonal skills, with the ability to engage stakeholders at all levels required. Proficiency in dental software and Microsoft Office Suite. In-depth knowledge of dental office operations, including patient scheduling, billing and insurance processing in needed. Proficiency in data analysis, report preparation, and use of program management software needed. Ability to solve complex problems and drive continuous improvement required. Strong leadership and team-building skills required. Must have excellent organizational, problem-solving, and multitasking abilities. Effective communication and interpersonal skills, with the ability to work with all levels of the organization is needed for this position. Must have the ability to work independently and prioritize tasks in a fast-paced environment. Must have the ability to manage confidential and sensitive information with discretion and strict adherence. Native American preferred.
