Job Skills / Requirements

SCOPE: The Fleet & Payroll Coordinator is responsible for ensuring accurate and timely payroll processing while managing the operational efficiency and compliance of the company’s vehicle fleet. This position requires exceptional attention to detail, strong organizational skills, and the ability to maintain confidentiality and regulatory compliance across both functional areas.

REPORTS TO: Chief Financial Officer

COMPENSATION:

  • Hourly Non-Exempt: $21.00/hr

SCHEDULE: 1 st Shift Monday – Friday (8:30 AM – 5:00 PM; w/ unpaid 30-minute lunch break) 40+ hours/week (Full-Time)

  • This position is fully in-office only. There is no remote or work-from-home option for this position.

JOB DUTIES/RESPONSIBILITIES:

  • Payroll Administration 1) Accurately process payroll in accordance with company policies and applicable federal, state, and local regulations. 2) Maintain and update employee payroll records, including timekeeping, deductions, and benefits. 3) Prepare and reconcile payroll reports; assist with tax filings and year-end reporting (W-2, 1099). 4) Respond promptly and professionally to employee inquiries regarding compensation and benefits. 5) Collaborate with Human Resources to ensure accurate onboarding and offboarding payroll adjustments. 6) Other duties as assigned.
  • Fleet Management 1) Assist with conducting motor vehicle record checks and enter the information into the compliance system. 7) Oversee the administration, maintenance, and compliance of the company’s vehicle fleet. 8) File maintenance records and any other documentation either electronically or physically for all company fleet vehicles. 9) Ensure timely registration, insurance coverage, and adherence to safety and regulatory standards. 10) Monitor fuel usage, mileage, and maintenance schedules to optimize cost efficiency.11) Coordinate preventive maintenance and repairs with approved service providers. 12) Maintain comprehensive fleet records and prepare periodic performance and cost reports for management. 13) Develop and enforce policies related to driver safety and vehicle utilization. 14) Monitor, audit, and troubleshoot the fleet vehicle GPS system according to department SOPs and protocol. 15) Assist with the physical installation or removal of vehicle GPS equipment. 16) Other duties as assigned.

QUALIFICATIONS: 1) Must be at least 18 years of age or older, have a high school diploma or GED. 2) Must be legally authorized to work in the United States of America, 3) Possessing an Associate’s, Bachelor’s Degree or greater in Business Administration, Accounting, or related field is strongly preferred. 4) Must be of good moral character, have no felony convictions, and be able to pass a criminal background check in accordance with all company policies, federal, state, and local laws. 5) Must be able to successfully pass a drug test at the time of hire and randomly thereafter. 6) Must have above-average organizational skills and acute attention to detail. 7) Must present a friendly, positive, professional image to clients, employees, supervisors, managers, and the general public. 8) Must possess high-quality verbal, written and interpersonal communication skills, ability to solve problems and de-escalate situations in a non-confrontational manner. These include the ability to read and write the English language and interpret documents such as safety rules, operating procedures, maintenance instructions and reports. 9) Must have the ability to multi-task. 10) Must be able to work independently, with little or no supervision. 11) Must possess the ability to perform basic mathematical calculations such as addition, subtraction, multiplication and division, at a minimum. 12) Must possess excellent computer skills, specifically in Microsoft Word, Excel (including the use and creation of formulas to modify and analyze data), PowerPoint, and Outlook. 13) Proficiency in payroll systems (e.g., ADP, Paychex) is preferred. 14) Knowledge of basic vehicle maintenance and regulatory compliance is preferred. 15) Must have reliable transportation and ability to travel, if needed, to perform essential functions of the job. 16) Must not have more than one at-fault accident or more than two moving violations on their driving record within the last three years. 17) Physical Requirements: a. Must be physically and mentally sound. b. Must be able to use hands and fingers to handle or feel objects, tools, or controls.c. Must be able to reach with hands and arms, and to hold objects. d. Must be able to sit, stand or walk for 8-12 hour shifts, including walking long distances, and possibly up and down stairs. e. Must be readily able to respond to emergency situations. f. Must be able to work in or outdoors during all seasons. g. Must be able to hear conversations (in person or via 2-way radio) in noisy environments. 18) NOTE: Internal candidates on a current, active disciplinary action (at time of application) will NOT be considered.
