Operations Supervisor Job Summary
A growing medical services organization in Grand Rapids, Michigan is seeking a hands-on and detail-oriented Operations Supervisor to lead and support daily operational activities across front office, warehouse, shipping & receiving, and driver functions. This full-time, exempt leadership role combines people supervision with active frontline operational work to ensure accuracy, efficiency, and adherence to organizational standards.
The Operations Supervisor is a working leader who regularly performs core operational tasks alongside staff while coordinating workflows, tracking customer-owned equipment, and supporting accurate and timely invoicing. This role works closely with technicians, warehouse leadership, customer service, and billing teams to maintain operational excellence and continuous improvement throughout the equipment repair lifecycle.
Operations Supervisor Responsibilities
- Perform day-to-day operational duties alongside staff, including front office support, shipping & receiving, equipment handling, documentation processing, and logistics coordination
- Lead, supervise, and support operational staff across front office, warehouse, shipping & receiving, and driver teams
- Serve as a working resource during peak volumes, staffing gaps, or operational backlogs to ensure continuity of service
- Oversee daily workflows to ensure accurate handling, movement, and tracking of customer-owned equipment through all operational stages
- Ensure assets are assigned and maintained in the correct operational status (e.g., received, in repair, awaiting parts, completed, shipped) to support accurate billing and reporting
- Ensure all required documentation—including work orders, invoices, packing slips, and shipping records—is properly completed, scanned, stored, and retrievable
- Coordinate daily operational needs in collaboration with the Warehouse Lead, Technicians, and Customer Service teams
- Collaborate with Technicians to place, track, and reconcile vendor orders, ensuring pricing accuracy, monitoring backorders, and managing inbound and outbound equipment flow
- Work closely with the Billing department to align operational statuses, documentation, and repair milestones for accurate and timely invoicing
- Resolve discrepancies related to equipment ownership, repair status, documentation completeness, or charge eligibility
- Monitor operational performance metrics and identify opportunities for improved efficiency, accuracy, and service delivery
- Serve as the primary escalation point for operational issues impacting workflow, documentation, equipment movement, or invoice readiness
- Promote a culture of accountability, teamwork, and continuous improvement by modeling expected work standards and behaviors
- Occasional travel may be required (less than 10%) for operational support, training, or company meetings
- Perform other related duties as assigned by operational leadership
Schedule & Compensation
- Schedule: Full-Time, Exempt
- Pay Range: $55,000-$60,000/YR.
- Location: Grand Rapids, MI
Operations Supervisor Qualifications
Required:
- Bachelor’s degree or equivalent combination of education and experience
- Minimum of 3–5 years of experience in operations, logistics, or operational supervision
- Demonstrated ability to design, document, and implement effective operational processes
- Proven leadership and training experience with cross-functional teams
- Strong organizational, communication, and problem-solving skills
- High attention to detail with the ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite and operational or documentation management systems
- Ability to occasionally lift, carry, push, or pull objects weighing up to 50 pounds, with or without reasonable accommodation
Preferred:
- Experience in healthcare, medical device, or service-based industries
- Familiarity with equipment tracking, repair workflows, or billing-aligned operations
