Executive Assistant to CEO (AI & Operations Focus)

We are a fast-growing portfolio of e-commerce brands seeking a highly driven and tech-savvy Executive Assistant to work directly with our Founder & CEO.

This is a fully on-site role based in Rochester, MI, working closely with leadership and supporting a global remote team across multiple brands.

About the Role

You will act as a true extension of the CEO—owning all administrative, coordination, and execution support while helping increase speed across the business.

This is not a traditional assistant role. You will be expected to move quickly, think independently, and actively use modern tools—especially AI—to improve workflows and eliminate inefficiencies.

If you enjoy learning fast, solving problems, and helping a founder operate at a higher level, this role will be a strong fit.

Requirements

Key Responsibilities

• Own and manage the CEO’s calendar, scheduling, and priority flow
• Prepare agendas, meeting notes, and track all action items
• Follow up with team members to ensure deadlines and deliverables are met
• Manage and organize internal systems, documents, and workflows
• Handle account setup, access management, and administrative processes
• Assist with vendor coordination, payments, and general operations
• Use AI tools (ChatGPT and others) to streamline tasks and improve efficiency
• Conduct research, summaries, and execution across business areas
• Identify inefficiencies and proactively suggest improvements

• Have 1–3 years of experience or strong proof of self-driven work
• Are highly organized and detail-oriented
• Move quickly and operate with urgency
• Actively use AI tools (ChatGPT, automation, etc.) in your daily work
• Take initiative without waiting for direction
• Communicate clearly and professionally
• Are comfortable following up with others and keeping things on track
• Thrive in fast-paced, evolving environments

• You prefer slow, structured environments with step-by-step instructions
• You are uncomfortable taking ownership or figuring things out independently
• You are not actively using AI tools daily in your work today
