Responsibilities

  • Assist with oversite of mobile / rental equipment.
  • Regulate unassigned drivetime in Samsara software.
  • Work closely with Department Managers, Department Estimators/Project Managers to develop and execute department work schedules for field personnel
  • Assign daily department work tickets to field workers based on jobs awarded, complexity of projects, location and duration of jobs to be completed
  • Enter all necessary data into internal software system to accurately balance job necessities in relation to field employees needed to complete projects awarded
  • Initiate communication across various departments in order to maintain the scheduling of crews in an efficient and timely manner
  • Serve as the liaison between Department Managers, Department Estimators/Project Managers, and field employees to ensure proper communication and information regarding daily work schedules and job progress is shared between departments
  • Process requests for equipment needs based on Department Estimators/Project Managers
  • Coordinate travel arrangements and per diem pay for out-of-town personnel
  • Assist in interpreting upcoming department workload in order to preserve a sufficient number of weekly hours for field employees
  • Maintain employee database for contact information, fleet vehicle information, licensing status (i.e. Driver’s License, Journeyman’s License, etc.), and drug screening status.

Requirements

  • Experience in scheduling or dispatching preferred
  • Proficient in Microsoft Office
  • Ability to learn internal company software systems quickly
  • Must display professionalism and a sense of urgency regarding cross-departmental communications (phone calls, emails, and texts)
  • Highly organized and enthusiastic personality required
  • Ability to be flexible and thrive in a rapidly changing, fast paced environment
  • Build relationships and rapport with internal employees and can work with diverse personalities across multiple departments of an organization
