Desk Secretary

Job Summary:
Under direction of licensed nursing staff, provides general clerical duties, reception duties and requisition of supplies, equipment, and coordinates with other departments for unit efficiency. Assists in maintaining the general function of the nursing unit.

- Answers call lights and forwards requests to appropriate team member.
- Answers all telephone calls within a timely fashion using appropriate scripting.
- Uses physician calling preferences when contacting physicians.
- Schedule follow up physician appointments for patients upon discharge.
- Contacts physicians immediately regarding stat consults per policy, for other routine contacts during business hours must contact within 2 hours.
- Assembles, disassembles, and maintains patient medical record per unit standard.
- Collaborates with manager to order and maintain appropriate supplies and floor stock.
- Demonstrates effective written and verbal inter and intra department communication, maintaining patient confidentiality.
- Maintains their competency and knowledge of Electronic Medical Record (EMR), including ongoing updates.
- Demonstrates a commitment to continued professional growth and maintenance of competencies, including but not limited to annual Beaumont competencies.
- Completes all mandatory training/education/competencies required for job classification, along with TB testing. Complies with all PPE requirements.
- Demonstrates knowledge of Chain of Command process and initiates as needed.
- Ensures and enhances facility, safety, and regulatory outcomes including National Patient Safety Goals.
Standard Qualifications:
Education: High School graduate or equivalent.
Experience: 1 Year Medical related experience preferred
Licensure: None
Skills & Abilities: Successful completion of the Desk Secretary Class and Orientation preferred, familiarity with computer keyboard required. Excellent communication and interpersonal skills.
Physical Requirements:
Strength
Position requires incumbent to occasionally perform physical activities requiring ability to push/pull objects up to 20 pounds and occasionally lift objects of up to 30 pounds.
Manual Dexterity
Position requires incumbent to frequently perform simple motor skills such as answering a telephone, frequently perform simple and moderately difficult manipulative skills such as writing and typing.
Coordination
Position requires incumbent to frequently perform gross body coordination such as walking, filing, retrieving manuals, frequently performing tasks which require eye-hand coordination such as keyboard skills.
Mobility
Position requires incumbent to frequently perform mobility skills such as walking, standing, sitting and occasionally perform prolonged sitting.
Visual Requirements
Position requires incumbent to see close range for reasonable periods of time as well as observe objects in distance in order to to observe call lights and perform other duties on the unit, as well as be able to distinguish colors in industrial signs and other signage consistent with patient care.
Hearing
Position requires incumbent to be able to hear normal sounds with some background of noise and to distinguish sounds as voice patterns in telephone conversations with clients.
