Position Overview
The Program Coordinator plays a critical role in delivering the GOTR experience by supporting key operational functions including site management, volunteer coordination, participant registration, event logistics, and coach engagement. This role is ideal for someone who thrives in a mission-focused environment, enjoys managing details while also building relationships, and wants to positively impact youth across our community.
This position requires a blend of administrative expertise, communication skills, and heart for community-building.
Key Responsibilities
Program Management & Operations
- Manage participant registration and financial aid processes via Pinwheel (CRM).
- Maintain accurate records and data for internal use and reporting.
- Prepare and distribute program materials to sites and teams.
- Serve as a point of contact for program-related inquiries from parents, caregivers, and school staff.
Coach Support & Volunteer Engagement
- Recruit, onboard, and retain volunteer coaches and site liaisons.
- Co-lead seasonal coach training sessions (virtual and in-person).
- Ensure all volunteers meet compliance requirements (CPR/First Aid, concussion training).
- Provide real-time support during the season to troubleshoot challenges and celebrate wins.
- Recognize and celebrate coach contributions through meaningful appreciation initiatives.
Site Coordination & Community Outreach
- Partner with schools and community organizations to implement programs at diverse sites.
- Attend community events to promote awareness and recruit participants and volunteers.
- Build and maintain positive relationships with school administrators and community partners.
Event Planning & 5K Coordination
- Assist in planning and executing celebratory events, including our end-of-season 5K, a joyful, non-competitive capstone experience for girls and their families.
- Support logistics such as registration, volunteer coordination, site setup, and participant communication.
- Help coordinate the Coach Meeting and other key program events.
- Assist with the coordination of 1–3 annual fundraising events.
Administrative & Budget Support
- Support budgeting efforts, including tracking program-related expenses.
- Enter and manage events in the CRM system and ensure data accuracy.
- Provide reports on participation, attendance, and program outcomes.
What We’re Looking For
Required Qualifications
- Passion for the mission of Girls on the Run.
- BA/BS degree or 4–5 years of relevant experience in youth development, education, or nonprofit program coordination.
- Strong interpersonal skills and a team-player mindset.
- Excellent written and verbal communication skills.
- Strong organizational and project management abilities; able to balance multiple priorities.
- Detail-oriented and self-motivated with a problem-solving attitude.
- Proficient in Microsoft Office Suite; experience with databases/CRMs is a plus.
- Ability to work independently and manage time efficiently.
- Reliable transportation and valid driver’s license (travel within the Kalamazoo area required).
- Comfort working in a fast-paced, evolving environment with a spirit of continuous improvement.
Preferred Qualifications
- Experience in customer service, coaching, or volunteer management.
- Prior involvement with Girls on the Run or similar youth-based programs.
- Knowledge of Kalamazoo-area schools and community organizations.
Work Environment & Physical Demands
- This is an on-site in the office position
- Occasional evening and weekend work is required, especially during peak programming months (March–May).
- Must be able to lift up to 30 pounds for the event setup.
- Ability to stand, move, and be outdoors during events for extended periods .
Compensation & Schedule
- Hourly Rate: $18–$20/hour, based on experience.
- Typical Schedule: Monday–Thursday, 9 AM–3PM (24 hours/week), with occasional on-call or evening hours during the season.
