POSITION OVERVIEW

This Secretary works in the main office of Sherwood Elementary School and is clerical support to the Principal.

EXAMPLES OF DUTIES :

Duties may include, but are not necessarily limited to:

  • Register new students and maintain accurate and up-to-date records for each student, including grades, test scores, immunization, attendance, etc.
  • Maintain accurate and up-to-date CA-60s for each student.
  • Maintain accurate records for pupil accounting purposes of student status, e.g., drops, adds, count day, tuition students, court-appointed guardianship, immigration.
  • Administer first aid and supervise students who become ill, including notifying parents as needed.
  • Maintain accurate Faculty Master Schedule.
  • Maintain regular filing system and process correspondence as deemed necessary.
  • Place and receive telephone calls and record messages.
  • Handle office needs of staff, students and parents.
  • Type letters, correspondence, memorandums and complex documents for the building principal and assistant principals as needed.
  • Schedule appointments and maintain that schedule as needed for the building principal.
  • Maintain accurate and up-to-date addresses for all White Pine families.
  • Collect student fees from parents and provide receipt.
  • Assist in securing bids for materials and/or services according to STCS policies and procedures.
  • Process all field trip and fundraiser applications.
  • Witness and/or administer student medication.
  • Assists administrators/teachers/counselors/coaches with special projects.
  • Maintain an accurate list of middle school staff, parents, volunteers and student organizations.
  • Maintain a regular filing system and process correspondence as instructed.
  • Assist in placing and receiving telephone calls and recording messages.
  • Maintain confidentiality of department and student information.
  • Perform such other tasks as may be assigned.

MINIMUM QUALIFICATIONS :

  • High School diploma or GED. Associate or higher degree in Business or applicable field preferred.
  • Knowledgeable in modern office practices and procedures.
  • Ability in keyboarding and data entry with speed and accuracy. Skilled in the use of computers and office equipment.
  • Skilled in the use of software, particularly word processing and spreadsheets.
  • Ability to understand and follow written and oral instructions.
  • Ability to work effectively and positively with employees, students and the general public.
  • Ability to assume responsibility and maintain confidentiality.
  • Ability to work independently and as a team member.
  • Ability to prioritize, multi-task and manage office tasks efficiently.
  • Ability to assume responsibility, maintain confidentiality, and demonstrate organizational abilities to carry out a project to completion.

MENTAL/PHYSICAL REQUIREMENTS:

  • Daily, in-person attendance required
  • Maintain emotional control under stress
  • Ability to use sound judgment; tact and courtesy in a variety of situations
  • Work with frequent interruptions
  • Repetitive hand motions
  • Prolonged use of computer
  • Possible occasional lifting or pushing of up to 25 pounds
  • Vision requirements include close up reading such as needed for handwritten or typed material, ability to adjust focus and depth perception.
  • Standing, walking, sitting, stooping, bending and kneeling

WORK ENVIRONMENT :

Primarily an indoor work environment in the main office of an elementary school.

HOURS/PAY :

  • 7.5 hours per day (+ 30-minute unpaid lunchbreak)
  • 220 workdays (August through June)
  • Wages pursuant to collective bargaining agreement with Saginaw Township Support Staff Association (STSSA) Salary and benefits are pursuant to the collective bargaining agreement between the district and Saginaw Township Educational Office Personnel (STSSA).
  • Current hourly rates are $15.26 – $21.10
  • Educational stipend of $0.80 per hour for individuals with Associates Degree or 60+ college credits (official transcripts must be received by district in order to qualify)
