We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to senior executives in a fast-paced remote environment. This role is ideal for a professional who excels at executive administration, project coordination, communication management, and strategic support.
Position Summary
The Executive Assistant serves as a trusted partner to executive leadership, ensuring seamless daily operations through effective calendar management, communication coordination, meeting preparation, and administrative support. The successful candidate will possess exceptional organizational skills, sound judgment, strong attention to detail, and the ability to manage confidential information with professionalism and discretion.
This role requires a self-motivated individual who can anticipate executive needs, prioritize competing responsibilities, and contribute to organizational success in a remote work environment.
Key Responsibilities
Executive Support
- Manage complex executive calendars, appointments, and scheduling priorities.
- Coordinate internal and external meetings across multiple time zones.
- Prepare agendas, presentations, reports, briefing materials, and meeting documentation.
- Organize virtual meetings using Microsoft Teams, Zoom, and other collaboration platforms.
- Monitor executive communications and assist with email management and correspondence.
- Screen and prioritize requests, inquiries, and communications.
- Coordinate travel arrangements, itineraries, and expense reporting as required.
Administrative Management
- Maintain confidential records, files, and executive documentation.
- Draft, proofread, edit, and distribute professional correspondence and reports.
- Develop and maintain organized digital filing systems.
- Track deadlines, deliverables, and action items to ensure timely completion.
- Support executive workflow optimization and administrative processes.
- Manage document preparation, formatting, and record retention activities.
Project and Operations Support
- Assist with strategic initiatives and special projects.
- Coordinate activities between executives, departments, and external stakeholders.
- Conduct research and compile information for executive review.
- Monitor project timelines and provide regular status updates.
- Support organizational planning and operational initiatives.
Meeting and Event Coordination
- Schedule and coordinate executive meetings, leadership sessions, and company events.
- Prepare meeting materials and presentation decks.
- Record meeting notes and track action items when requested.
- Coordinate logistics for virtual and occasional in-person meetings.
Stakeholder Communication
- Serve as a professional liaison between executives and internal or external stakeholders.
- Maintain strong working relationships with leadership, clients, vendors, and employees.
- Respond to inquiries with professionalism and discretion.
- Ensure timely follow-up and communication on executive priorities.
Required Qualifications
- Associate degree or Bachelor's degree preferred.
- Minimum 4 years of experience as an Executive Assistant, Senior Administrative Assistant, Executive Coordinator, or related role.
- Experience supporting senior executives, directors, vice presidents, or C-suite leaders.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with Google Workspace and virtual collaboration tools.
- Exceptional organizational and time-management skills.
- Excellent written, verbal, and interpersonal communication abilities.
- Strong attention to detail and problem-solving capabilities.
- Ability to handle sensitive and confidential information appropriately.
- Proven ability to work independently in a remote environment.
Preferred Qualifications
- Experience supporting executives within healthcare, life sciences, biotechnology, pharmaceutical, consulting, research, or technology industries.
- Familiarity with project management software such as Asana, Monday.com, Smartsheet, or Trello.
- Experience with CRM systems and business reporting tools.
- Knowledge of corporate governance and executive operations.
- Experience managing multiple executive stakeholders simultaneously.
