Position Summary
We’re seeking a reliable, professional, and organized Medical Office Assistant (MOA) to join our busy neurosurgical practice. The ideal candidate will provide both front-office administrative support and limited clinical coordination to ensure smooth daily operations and an exceptional patient experience.
This position involves direct interaction with patients, physicians, and healthcare professionals, as well as periodic travel to affiliated locations.
Primary Responsibilities
Front Office Duties
- Greet and check in patients with professionalism and compassion.
- Verify insurance information, process copayments, and manage patient registration.
- Schedule and confirm patient appointments, surgeries, and follow-up visits.
- Answer phones, respond to messages, and triage patient inquiries appropriately.
- Maintain accurate and organized patient records in the EMR system.
- Coordinate referrals, authorizations, and medical record requests.
- Prepare and distribute correspondence, reports, and physician dictations as needed.
Clinical & Administrative Coordination
- Support pre-operative and post-operative scheduling and communication.
- Assist with completion and transmission of surgical paperwork.
- Communicate with hospitals, imaging centers, and insurance carriers to facilitate care.
- Monitor incoming faxes, lab reports, and imaging results for timely provider review.
- Maintain HIPAA compliance and confidentiality at all times.
Travel Expectations
- Travel 2–3 times per month to satellite offices.
- Occasionally assist with patient education or clinical support at off-site locations.
- Mileage or travel reimbursement provided per practice policy.
Qualifications
Preferred:
- Experience in neurosurgery, orthopedics, or another surgical subspecialty (preferred but not required).
- Familiarity with EPIC or similar EMR systems.
- Excellent communication, multitasking, and organizational skills.
Physical & Work Requirements
- Ability to stand or sit for extended periods.
- Occasional lifting (up to 25 lbs).
- Must have reliable transportation and flexibility for short-notice travel.
