Digitization Project Job Description – Archival Preservation Grant

Digitization of Historical and Organizational Archival Materials

Project Overview:
The AFRP is undertaking a targeted digitization project, funded by a grant from the Well-Being in the Arts National Art Partners (NAP) Fund, to preserve and provide access to a selection of our historical and administrative records. This grant covers a period of 1 year, from October 2025 – September 2026. This initiative will focus on professionally digitizing approximately 5 out of 20 archival boxes, ensuring long-term digital preservation and improved accessibility for researchers, members, and the public.
Materials to Be Digitized:
From a larger collection comprising 20 archival boxes, this phase of the project will selectively focus on approximately 5 boxes. These may include materials from the following:
- Ad Books (1961–2022) – Event programs and promotional materials.
- Hathihe Magazines (1959–2018) – Organizational newsletters and publications.
- 50th Anniversary Documents – Historical images, text drafts, and commemorative content.
- Federation Reports (1962–2009) – Meeting minutes, midyear and convention documents.
- AFRP Membership Directories (1962–2015) – Membership listings and backup documentation.
Scope of Work:
- Assess and select priority materials from the designated 5 boxes.
- Prepare materials for digitization, ensuring physical integrity and proper handling.
- Scan materials using archival-grade standards (minimum 300 dpi, uncompressed TIFF or high-resolution PDF).
- Index and organize digital files with appropriate metadata (title, date, subject, etc.).
- Coordinate with archival software or digital repository systems for storage and access.
- Document workflows and create a preservation plan for future digitization.
Deliverables:
- Digital copies of selected materials from 5 archival boxes.
- Metadata spreadsheet or database for cataloging.
- A short report summarizing work completed and recommendations for future phases.
Project Duration:
Estimated 10 hours per week over 4-6 months, depending on staffing and equipment availability.
Professional Storage Needs:
As part of this project, we are seeking to bolster our storage capabilities to ensure long-term preservation of both physical and digital materials. This includes acquisition of archival-grade storage boxes, folders, and climate-controlled shelving for physical materials, as well as redundant digital storage solutions.
