The Payroll Coordinator provides support to the Payroll and HR functions by coordinating the bi-weekly payroll process, managing data flow between departments, and ensuring accurate and timely processing of payroll-related activities. This role requires strong attention to detail, excellent organizational skills, and the ability to communicate effectively across departments and with external payroll vendors. The individual will support employee record maintenance and contribute to payroll-related projects and process improvements.

Overview of Essential Duties / Functions:
•Coordinate the collection, review, and submission of payroll data to ensure timely and accurate payroll processing
•Maintain and update employee data in the payroll system, including banking details, tax withholdings, garnishments, job title changes, and benefits deductions
•Review payroll reports and assist in reconciling discrepancies or variances
•Support the preparation and distribution of payroll-related reports and journal entries
•Assist in the coordination of year-end payroll activities including W-2 processing and other tax filings
•Respond to employee inquiries related to payroll, benefits deductions, and time off policies in a professional and timely manner
•Ensure compliance with relevant payroll, wage, and hour regulations and assist in maintaining internal payroll documentation
•Collaborate with HR to implement and maintain payroll policies and procedures, complete request, and verification of employment
•Support workers' compensation reporting and claims coordination
•Assist with employee onboarding activities related to payroll, such as system setup and orientation materials
•Provide administrative coordination for office operations, such as ordering supplies, maintaining internal contact lists, and coordinating service vendors
•Maintain accurate department and employee records, including electronic files for payroll, benefits, and compliance
•Support Senior Leadership and HR team with ad hoc projects and administrative tasks as needed
Education / Experience:
•Associate's Degree or equivalent in a related field
•1–3 years relevant experience in payroll coordination or related administrative roles
•Familiarity with payroll systems and HRMS platforms preferred
•Intermediate knowledge of Microsoft Office Suite, especially Excel and Outlook
•Basic understanding of federal, state, and local payroll and employment laws
•Preferred but not required:
•Union experience
•Sage and / or UKG platform experience
•SAP experience

Physical Requirements:
•Ability to occasionally move about inside the office to access supplies and files
•Frequently operates a computer and standard office equipment
•Must be able to remain in a stationary position for extended periods
•Regularly communicates verbally and in writing with employees and team members
