Accounts Payable Specialist
Accounts Payable Specialist, Full-time Pay Range: $22.42 - $27.42
Ionia County Finance Department
Ionia County is seeking a detail-oriented and dependable Accounts Payable Specialist to join its Finance Department. This position supports the financial operations of both the County and Road Departments.
The Accounts Payable Specialist is responsible for processing invoices, verifying financial information, maintaining accurate records, and ensuring timely payments in accordance with County policies and procedures. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work collaboratively across departments.
This position is on-site Monday through Friday, 40 hours per week.
Key Responsibilities
- Invoice Processing: Receive invoices from vendors and Department Heads, review all invoices for accuracy and compliance with established guidelines. Once reviewed, code and key all invoices into BS&A or Precision software.
- Payment Coordination: Prepare and process payments on a bi-weekly basis, ensuring adherence to payment terms and local government policies.
- Vendor Relations: Maintain positive relationships with vendors, address inquiries, and resolve discrepancies related to invoices and payments.
- Reconciliation: Assist in the monthly reconciliation of accounts payable transactions, ensuring discrepancies are identified and resolved promptly.
- Record Maintenance: Ensure all invoices and payment records are accurately filed and maintained, supporting transparency and accountability in financial operations.
- Compliance: Ensure compliance with county policies, state regulations, and financial best practices, assist during audits, and budget as required.
- Collaboration: Work collaboratively with other departments to support overall financial management within the organization.
- Data entry: Enter journal entries in the system.
- Miscellaneous: Run reports, prepare and maintain different AP schedules, request, review, and enter W-9’s, back-up to business license and permitting. Other duties as assigned.
Qualifications
- Associate degree in accounting or a similar field, or 2 years of experience.
- Previous experience in accounts payable, preferably in a government or public sector environment.
- Attention to detail, strong organization skills.
- Proficient in accounting, with experience in BS&A and Precision preferred.)
- Proficient in Microsoft Office Suite, particularly Excel.
- Strong understanding of vendor set-up and IRS vendor-related requirements and rules.
- Ability to understand IRS rules and regulations.
- Effective verbal and written communication skills to interact with vendors, county officials, and other stakeholders.
- Possession of a valid driver’s license
