The Wealth Management Client and Administrative Associate will play a pivotal role in delivering exceptional administrative support to the CEO, advisors, and clients of Advanced Wealth Strategies (AWS). Hours: Agreed to keep a basic of 40 hrs M-F with flexible scheduling based on team availability

Job Duties and Responsibilities

· Welcomes and directs visitors and clients.

· Responds to and resolves administrative inquiries and questions.

  • Processes all documents for clients, including compliance forms. opening new accounts, closing accounts, other client forms and transferring.
  • Monitors new account openings and associated data entry.

· Maintains client files and paperwork.

· Assists with service meetings by reviewing compliance needs and pre-scheduling appointments as needed.

· Answers and transfers phone calls, screening when necessary.

· Prepares and executes marketing efforts.

· Plans events, volunteer efforts, social media management.

· Provides administrative support for all staff.

  • Maintains a system for tracking credit card records.

· Coordinates travel and appointments for staff as requested.

· Assists with client meeting preparation and follow-up.

· Processes client requests.

· Submit monthly compliance reports to broker-dealer and RIA.

· Maintains firm compliance regulations.

· Maintains office space to the firm’s standards and coordinates with the manager of supplies needed.

· Performs other related duties and responsibilities as assigned.

· Proficient in Microsoft Office, Adobe, and DocuSign

· Plus for experience with Redtail, FMG and eMoney

Required Education and Experience

· Minimum education of High School Diploma.

· Minimum of 2 years of experience in an administrative or other professional role within an office setting.

· Minimum of 2 years of experience providing exceptional customer service.

· Exceptional written and verbal communicator with a strong ability to adjust communication style to accommodate diverse audiences.

o Associate’s or Bachelor’s degree

o Marketing experience

o Financial service experience.

Compensation

· Starting at $40,000 base and up to 12% bonus annually for individual incentives.

· The Company reserves the right to provide additional bonus compensation as deemed appropriate.

· Benefits include a 401(k) plan with a 3% match, group life insurance, short-term disability insurance, and paternal leave.

· Employees have the option to enroll in a legal plan and long-term disability insurance at their own expense.

· Healthcare, vision, and dental expenses are covered up to 50% for individuals, with a maximum of $250 per month, and up to 25% for families, with a maximum of $500 per month.

· Competitive PTO and Holiday pay.

Essential Functions of the Job. In the course of performing this work, an employee must be able to:

· Engage in logical reasoning, interpreting and responding.

· Adjust conversation style to accommodate diverse audiences.

· Lift up to 20 lbs. periodically.

· Use computers, keyboards, phones, and other office equipment effectively to perform job duties.

· Communicate effectively verbally and in writing with colleagues, clients, and other stakeholders in person, on the phone, via video conference software, and via chat and email.

· Read and understand written documents, emails, reports, and instructions relevant to job responsibilities.

· Sit for prolonged periods looking at computer screens reading and interpreting data and creating/modifying financial information and other data.

· Organize tasks, manage time efficiently, and prioritize workload to meet deadlines.

· Move within the office environment and adjust to different workstations, along with the ability to maintain proper ergonomic posture while performing tasks.

· Attend meetings, events, or conferences, which might involve some travel and extended periods of standing or sitting.
