National law firm seeks a Litigation Docketing Manager who will be responsible for overseeing the docketing operations within the law firm, ensuring the accurate and timely management of all litigation deadlines, filing dates, and court appearances. This role involves supervising a team of docketing specialists and interfacing with attorneys and staff to address docketing-related issues. The manager will ensure compliance with court rules and procedures and provide leadership in maintaining the efficiency and reliability of the docketing system.
Essential Duties and Responsibilities:
1. Docket Management:
· Oversee the monitoring and updating of the docketing system with all incoming pleadings and litigation-related materials.
· Ensure the accurate analysis of legal documents to determine pertinent dates and deadlines, and their precise entry into the docketing system.
· Supervise the generation and distribution of docket reports to attorneys and legal staff to ensure awareness of upcoming deadlines and court dates.
2. Team Supervision
· Lead and manage a team of docketing specialists, providing guidance and support to ensure high performance and professional development.
· Conduct regular team meetings to discuss docketing procedures, address challenges, and implement improvements.
3. Compliance and Coordination:
· Ensure compliance with all jurisdictional rules and court procedures related to docketing and calendaring.
· Coordinate with attorneys and paralegals to confirm that all deadlines are met and assist with the prioritization of case work based on docket schedules.
4. Communication:
· Interface regularly with attorneys and staff regarding changes to court rules, docketing procedures, and updates on case statuses.
· Respond to inquiries from attorneys and staff regarding docketing information and provide clarification on docket entries as necessary.
5. Document Management:
· Oversee the electronic filing of court documents and maintain organized records of all filings and communications.
· Provide support in the retrieval of documents and case files as needed for case preparation and court proceedings.
· Ensure that court credentials are integrated with docketing management system.
6. Quality Control:
· Perform regular audits of the docketing system to ensure accuracy and completeness of the data.
· Identify and resolve discrepancies in the docketing system and suggest improvements to enhance efficiency and reliability.
Qualifications, Skills and Abilities Required:
1. Bachelor’s degree or equivalent experience in a legal or administrative field.
2. Minimum of five years of experience in a docketing role within a law firm or legal department, with at least two years in a supervisory capacity.
3. Proficiency with docketing software and case management systems (CourtAlert preferred), as well as a strong understanding of electronic court filing procedures.
4. Familiarity with federal, state, and local court rules and calendar management.
5. Excellent attention to detail and the ability to manage multiple tasks and deadlines simultaneously.
6. Strong organizational and communication skills, both written and verbal.
7. Ability to work independently as well as part of a team in a fast-paced environment.
