Position Overview:
General Office Support
- Performs all administrative duties as required, including, but not limited to: visitors logs, parking logs, maintain organized office, stock office/kitchen supplies, ensures office equipment in working order, manages mail services, processing and distribution of mail.
- Greets and receives visitors at office establishment, determines nature of business and directs visitors to destination.
- Facilitates operational logistics such as organization of meetings, conference rooms, conference calls, etc.
- Coordinates lunches for administrative staff and prepares PowerPoint presentations as needed.
- Processes invoices through Workflow application.
- Provides support for project control and document control services.
- Tracks shop incentive programs.
- Maintains and tracks job application logs for shop positions, employee training records, and craft vacation calendar.
- Tracks attendance policy violations and creates disciplinary actions for those as necessary.
- Schedules appointments, maintains calendars, maintains office distribution lists, arranges business itineraries and coordinates travel requirements for management.
- Processes Weekly Timesheets for managers as requested.
- Prepares and audits/edits expense reports and organization/seating charts.
- Exercises good interpersonal skills by gladly assisting others to accomplish work of the organization, even if it is outside the scope of regular duties.
- Other duties as assigned.
HR & Payroll Support
- Assists with onboarding new employees, and maintains new employee/safety orientation sign-off sheets & drug testing logs.
- Reviews Project Orientation Package (State & Federal withholding documents, I-9, harassment, etc.) with all new employees.
- Processes new hires and separation paperwork as required. Coordinates with union administrator on items such as union dues, membership, and health & welfare status.
- Enters, reviews and submits shop payroll.
- Provides management with accurate workforce reports as required, including but not limited to: shop roster, badge-in records and payroll.
- Coordinates FMLA paperwork and tracking with Employment Resources.
- Tracks shop employee service and retirement awards, and end of year payouts.
- Maintains shop employee personnel records and all other union records and correspondence.
- Tracks probationary employees.
- Other duties as assigned.
Qualifications:
Associate's degree and two to four years related experience and/or training, or equivalent combination of education and experience. Proficient with Outlook and Microsoft Office with intermediate knowledge of payroll data entry and Procore or other project management software. Professional demeanor, communication, and interpersonal skills commensurate within a business environment. Able to promptly, thoroughly, and accurately to inquiries and manage multiple tasks at once. Exceptional grammar and spelling skills required.
