Part-time Mental Health Office Assistant for Queer Friendly Practice

Position Overview
We are seeking a dependable, detail-oriented Office Assistant to support the daily operations of our practice. This role is primarily in-person, with some limited remote flexibility once training is complete. There is some flexibility in start and finish times and we can discuss the number of days as well.
This position is ideal for someone who enjoys structured administrative work, communicates professionally and warmly, and understands the importance of confidentiality in a mental health setting. We are a relaxed environment but this position does entail a high level of organization.
Key Responsibilities
- Manage scheduling and appointment coordination in our EHR Simple Practice
- Respond to phone calls, emails, and client inquiries in a timely and professional manner
- Process new client intake paperwork and maintain electronic health records
- Verify insurance benefits and assist with basic billing coordination
- Track outstanding balances and support payment follow-up
- Maintain office organization and supplies
- Support clinicians with administrative needs as appropriate
- Ensure HIPAA compliance and client confidentiality at all times
Qualifications
- Prior administrative or office experience required (healthcare or mental health preferred)
- History of working with LGBTQ and BIPOC populations
- Strong organizational skills and attention to detail
- Professional written and verbal communication skills
- Comfortable managing multiple tasks and deadlines
- Ability to handle confidential and sensitive information with discretion
- Self-motivated and able to work independently
Preferred Qualifications
- This position does not require a degree but professionalism is expected
- Experience using SimplePractice
- Familiarity with mental health billing and insurance verification
- Previous experience in a private practice or medical office setting
- Computer proficiency, including familiarity and experience with video conferencing, email and Microsoft Office
Compensation
- $20–$22 per hour, based on experience
- W2 employment status
- Supportive, team-oriented work environment
