POSITION SUMMARY:

The School of Education Coordinator is a full-time professional staff position within the Educator Preparation Program (EPP). The Coordinator provides leadership in program compliance, candidate advising, accreditation support, data management, and continuous program improvement. This position serves as the primary coordinator for state certification processes, institutional reporting, and accreditation data systems while maintaining comprehensive candidate records and ensuring compliance with Michigan Department of Education (MDE), Council for the Accreditation of Educator Preparation (CAEP), federal, and university requirements.

The Coordinator is responsible for collecting, validating, analyzing, interpreting, and reporting candidate and program data used to evaluate Educator Preparation Program effectiveness, inform departmental decision-making, and support continuous improvement initiatives. The position requires strong analytical skills, attention to detail, and the ability to communicate findings through reports and data dashboards to faculty, administrators, and external agencies.

EDUCATION AND/OR EXPERIENCE REQUIRED:

  • Bachelor's degree required; Master's degree preferred
  • Three to five years of experience in higher education, academic advising, student records, institutional reporting, or related administrative work
  • Experience managing confidential student records and databases
  • Experience collecting, analyzing, and reporting data
  • Knowledge of Michigan Teacher Certification requirements preferred
  • Knowledge of Rochester Christian University curriculum and transfer credit evaluation preferred
  • Knowledge of FERPA

State Certification and Regulatory Compliance

  • Serve as the School of Education representative to DARTEP and attend quarterly meetings.
  • Maintain current knowledge of Michigan Teacher Certification policies, standards, and legislative changes.
  • Recommend candidates for provisional, renewal, and professional certification through the Michigan Department of Education.
  • Complete all required Michigan Department of Education institutional reports.
  • Complete annual federal Title II reporting.
  • Ensure compliance with all MDE, CAEP, university, and federal reporting requirements.

Candidate Records and Academic Advising

  • Maintain complete and accurate candidate records throughout the Educator Preparation Program.
  • Serve as the primary academic advisor for education candidates.
  • Monitor candidate progress toward program completion and certification eligibility.
  • Evaluate transfer transcripts and determine course equivalencies.
  • Update candidate degree plans each semester.
  • Receive and process applications for admission into the Educator Preparation Program.
  • Prepare admission materials for committee review.
  • Conduct iChat criminal background checks for education candidates.
  • Data Collection, Analysis, and Continuous Improvement
  • Collect, organize, validate, analyze, and interpret candidate performance and program effectiveness data.
  • Develop and maintain databases used to monitor candidate progress and program outcomes.
  • Analyze MTTC performance data to identify trends, strengths, areas for improvement, and program effectiveness.
  • Compile candidate assessment data for faculty review and continuous improvement initiatives.
  • Prepare statistical reports, summaries, and dashboards for faculty, administration, accreditation, and state reporting.
  • Monitor key performance indicators related to candidate success, licensure, retention, completion, and employment outcomes.
  • Collect follow-up data from program graduates and employers to evaluate program effectiveness.
  • Assist faculty in using assessment data to support evidence-based program improvements.
  • Maintain data integrity and ensure the accuracy of institutional reporting.
  • Support Quality Assurance processes through systematic collection and analysis of assessment data.
  • Coordinate data collection and documentation required for CAEP accreditation, annual reporting, and accreditation site visits.
  • Generate reports for departmental planning, assessment, strategic initiatives, and institutional effectiveness.

Accreditation Support

  • Coordinate collection and organization of evidence required for CAEP accreditation.
  • Maintain accreditation documentation and assessment records.
  • Support faculty in documenting continuous improvement activities.
  • Assist with preparation of accreditation reports, exhibits, and evidence files.

Program Operations

  • Manage the Experiential Learning Cloud system for clinical placements and candidate tracking.
  • Maintain the School of Education website.
  • Prepare and revise advising guides, handbooks, manuals, forms, and degree plans.
  • Coordinate departmental records and documentation.
  • Record meeting minutes for School of Education faculty meetings.
  • Order and maintain departmental office supplies and materials.
  • Assist the Dean with course scheduling.
  • Provide required information for administration of the Michigan Future Educator Fellowship and Stipend Grants.

Recruitment and Student Support

  • Respond to inquiries from prospective education students.
  • Participate in recruitment events and initiatives.
  • Provide exceptional service and support to prospective and current students, faculty, and external partners.

Committee Service

  • Serve as an active member of:
  • Admission Committee
  • Quality Assurance Committee
  • Candidate Support Committee (Chair)
  • Provide data analyses, assessment reports, and recommendations that support committee decision-making and program improvement.

Required Knowledge, Skills, and Abilities

Data Analysis and Assessment

  • Demonstrated ability to collect, organize, analyze, interpret, and present quantitative and qualitative data.
  • Strong analytical and critical thinking skills.
  • Ability to identify trends, evaluate program outcomes, and prepare data-informed recommendations.
  • Experience developing reports, statistical summaries, and visual presentations of data.
  • Ability to ensure data accuracy, integrity, confidentiality, and compliance with reporting requirements.

Technical Skills

  • Advanced proficiency with Microsoft Office Suite, particularly Excel.
  • Proficiency with Google Workspace.
  • Experience using student information systems and education data management software.
  • Ability to learn and effectively utilize the MTTC Analyzer, Canvas, Experiential Learning Cloud, and other assessment management systems.
  • Ability to manage multiple databases simultaneously.

Communication and Organizational Skills

  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to work collaboratively with students, faculty, staff, administrators, and external agencies.
  • Exceptional organizational skills with careful attention to detail.
