SHS Admissions and Enrollment Coordinator

The primary responsibility of the School of Health Sciences (SHS) Admissions and Enrollment Coordinator is to lead and manage the outreach, intake, and enrollment process for students entering secondary admission health science programs, as well as to support non-secondary admission programs with a focus on transfer pathways. This includes coordinating outreach efforts, building relationships with key stakeholders across educational and community settings, and applying data-informed strategies to support student engagement and enrollment. The position requires strong administrative, communication, and analytical skills, along with a thorough understanding of GRCC's healthcare programs, admission requirements, and transfer partnerships. The Coordinator will contribute to the development and implementation of apprenticeship and work-based learning pathways in collaboration with industry partners.

Under general direction, this position oversees all steps from application through enrollment, ensuring prospective students receive timely, accurate guidance and support. The Coordinator meets individually with students to identify barriers, develop action plans, and connect them with appropriate resources for success. Responsibilities include maintaining up-to-date knowledge of program requirements, transfer agreements, and admission criteria for transfer programs; managing communications through the College's CRM system; monitoring prospective and current student's academic progress; and developing individualized success plans. The Coordinator works closely with faculty, program directors, department heads and advising staff to address barriers, improve student outcomes, and enhance program growth.

ESSENTIAL FUNCTIONS
  • Manage prospective student communications and engagement strategies using the College's CRM system; monitor data trends to increase the number of students who complete the admissions process and begin their academic program.
  • Coordinate secondary admission processes across programs, ensuring students complete required steps and are placed appropriately.
  • Maintain accurate and current knowledge of program requirements, secondary admission processes, and transfer pathways to ensure students receive clear, timely information.
  • Guide prospective and current students through key enrollment and academic processes, including application steps, orientation, and progression milestones.
  • Meet individually with students to assess barriers, develop success plans, and connect them with appropriate academic and support resources; track progress and follow up as needed.
  • Monitor academic performance and course completion data for individuals and groups; use this information to implement targeted interventions and success strategies.
  • Collaborate with students to build personalized completion plans that integrate skills such as time management, organization, test-taking, and coping strategies.
  • Work with faculty, program directors, the Associate Dean and the Dean to evaluate program needs, identify growth opportunities, and align enrollment practices with workforce and transfer demands.
  • Assist in the development and implementation of apprenticeship and work-based learning opportunities that align with academic outcomes and career goals.
  • In collaboration with the Center for Career and Professional Readiness, support student preparation for employment and transfer by facilitating networking opportunities, reviewing professional materials, and sharing job search tools.
  • Contribute to the development of print and digital resources that support career exploration.
  • Participate in faculty and staff meetings to review student success data and support strategies for specific populations.
  • Lead and participate in student support sessions that connect students with information and resources related to academic pathways, career options, and transfer opportunities.
  • Collect, analyze, and contribute data to annual reports, grant submissions, and accreditation documentation.
  • Supervise student employees, including task delegation, training, and performance evaluation.
  • Maintain consistent and professional communication with students, faculty, and staff via email, phone, and in-person interactions.
  • Convene meetings with various student service departments to ensure accurate dissemination of program updates and changes
  • Maintain regular and reliable attendance to ensure continuity of service and program operations.
  • Perform other related duties as assigned.


JOB SPECIFICATIONS
Education Credentials

  • Bachelor's Degree required.
  • Master's degree preferred.

Work Experience

  • Two or more years' experience working in admissions, student services, secondary admissions programs or a related field.
  • Knowledge of Health Programs: Cardiovascular Technology (CVT), Dental Auxiliaries (DA & DH), Exercise Science, Occupational Therapy Assisting (OTA), Imaging Sciences to include Computed Tomography (CT), Magnetic Resonance Imaging (MRI) Neuro Diagnostics (EEG) and Radiologic Technology (RAD).
  • Experience with assessing student needs and identifying barriers to student success.
  • Create/build a supportive network for students to be successful in the Health programs.
  • Experience with creating success/action plans for students.
  • Experience working with a diverse community college student population is highly preferred.

Skills

  • Excellent written and verbal communication skills. Must be comfortable with public speaking.
  • Ability to organize work, handle multiple tasks, and meet timelines in a multi-project environment with minimal supervision.
  • Able to plan for upcoming deadlines, anticipate changes, and ensure accuracy in data tracking on a consistent basis.
  • Planning and implementation of events and programs.
  • Excellent formal presentation skills for small and large groups while presenting a strong professional presence.

Physical Demands

  • Mix of seated office work and active off campus engagements (driving, standing at information tables for 2-3 hours, etc).
  • Heavy computer use for communication and documentation.
