Front Office Administrator

What You’ll Do:

  • Greet and assist patients with warmth and efficiency
  • Manage and optimize the appointment schedule
  • Coordinate communication between dental team and patients
  • Answer phone calls, confirm appointments, and handle patient inquiries
  • Follow up with patients regarding treatment plans and recalls
  • Patient financial coordination
  • Insurance coordination
  • Ensure a smooth, comfortable experience for every visitor

Current opening is for a permanent, full-time position working approximately thirty-six hours per week. We are a non-corporate, general dental practice focused intently on providing exceptional patient care through a great patient experience. We provide a wide range of dental services including cosmetic, implants, restorative, and reconstructive dentistry.

Responsibilities

  • Coordinate and manage schedule planning, calendar appointments, and meeting arrangements to optimize team productivity.
  • Aid in front desk operations, including multi-line phone systems, greeting visitors, and handling inquiries with professional phone etiquette.
  • Patient financial coordination- Explain treatment plans, costs, and financial policies; overcome financial barriers to treatment.
  • Insurance coordination- Verify benefits, determine patient responsibility, submit claims, follow up on denials, and process Explanation of Benefits (EOBs).
  • Accounts receivable- Monitor and collect outstanding balances, manage delinquent accounts, send statements, and post payments.
  • Financial Arrangements- Create and manage payment plans, coordinate with third-party financing companies, and offer various payment options.

Experience

  • Proven experience in office administration or related clerical roles within a professional environment.
  • Background in medical office management or healthcare-related administrative functions is a plus but not mandatory.
