A respected nonprofit organization is seeking a detail-oriented Accounts Payable / Staff Accountant to support the Finance team. This role focuses on invoice processing, grant expense tracking, vendor management, and financial reporting for grant-funded programs.

Schedule for Accounts Payable / Staff Accountant – Nonprofit Finance

Monday – Friday | 8:00 AM – 5:00 PM
Hybrid schedule with 2 remote days

Key Responsibilities for Accounts Payable / Staff Accountant – Nonprofit Finance

• Process and verify vendor invoices and payments
• Manage accounts payable processing for program and operational expenses
• Enter invoices into the accounting system and process check runs and ACH payments
• Match invoices with purchase orders, contracts, and supporting documentation
• Ensure proper general ledger coding and financial documentation
• Maintain accurate vendor records including W-9s, EFT information, addresses, and 1099 data
• Track grant-related expenses and vendor contract spending
• Input ACH and positive pay banking information
• Manage incoming finance mail and resolve returned checks
• Perform monthly and quarterly accounts payable reconciliations

Prepare journal entries including:

• Credit card expense reclassification
• Monthly invoice accruals
• Expense corrections and adjustments
• Respond to vendor payment inquiries and internal finance requests
• Ensure invoices and expenses are recorded in the correct accounting period
• Assist with financial reporting and documentation related to grant-funded program expenses
• Support finance team projects and reporting as needed

Qualifications for Accounts Payable / Staff Accountant – Nonprofit Finance

• 3+ years of Accounts Payable or accounting experience
• Experience working in nonprofit, social services, education, healthcare, or grant- funded organizations preferred
• Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
• Strong attention to detail and organizational skills
• Ability to manage multiple priorities and meet deadlines
• Experience supporting grant expense tracking or program accounting is a plus
