- Coordinate and schedule interpreters and language professionals for onsite, telephonic, and video assignments
- Communicate with clients, linguists, and internal teams to confirm appointments and resolve scheduling conflicts
- Monitor service requests, coverage, cancellations, and last-minute changes
- Maintain accurate scheduling records in company systems
- Ensure compliance with client requirements, certifications, and service standards
- Provide general administrative assistance to operations, project management, and leadership teams
- Prepare reports, correspondence, and internal documentation
- Maintain organized digital and physical filing systems
- Support onboarding documentation for linguists and vendors
- Assist with invoice tracking, documentation, and internal controls
- Support basic bookkeeping functions, including:
- Invoice review and tracking
- Expense documentation
- Timesheet verification
- Coordination with accounting and payroll teams
- Ensure accurate recordkeeping and timely submission of financial documents
- Minimum 23 years of experience in scheduling coordination and administrative support
- Experience in the language services industry (interpretation, translation, or related services) required
- Background or working knowledge in bookkeeping or accounting support
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency with scheduling systems, databases, and Microsoft Office / Google Workspace
- Ability to work onsite and collaborate with cross-functional teams
- Bilingual or multilingual (Spanish, French, or other languages a strong plus)
- Experience working with interpreter scheduling platforms
- Familiarity with HIPAA-compliant environments or government contracts
- Experience supporting ISO-certified organizations (ISO 9001 / ISO 17100 a plus)
